You may also wish to recruit additional check-in personnel. Checking armor, weapons, and taking coin from 200+ people is going to be time consuming and you'll want to get people on the field quickly.

Heh, we get close to 200 people to day events :)

But yes, I have been told we will have an increased number of people working check-in to get it done and it will run longer.

Yes We will need additional check in personnel as well, Anyone who can Marshall will be needed. Please show up early, check in begins at 11am rather than the usual noon but will still last until 1pm.

Will land actions proceed as normal? I could see how it may be worth postponing, though we may wish to showcase our gaming/landmap system to visitors.

I will do my best to get there early and aid in processing players.

So here is a question.

Do you have designated locations for groups to set-up?? My group will be bringing a very large pavilion tent (larger than the one I usually use) for us and would like to be close to the action. We are expected Valdimar and friends to be joining us that day.

I think an area should be reserved for the King / Court and Nobles to sit on the sidelines and then everything else first come first serve. Maybe we can set up some sort of "boundry" via flags or something to let the mundanes know "dont pass here or you might get thwacked with a sword" kinda thing?

Are our previous King's planning to attend? Id love to get a group shot of the 3 Kings of Darkon for the website.

There will be several nearby areas designated for PERIOD tents near the battle field. Keep in mind, no cars allowed past the parking area after 10:30 so people will need to set up early or else be lugging tents. The primest area is going to be between the barn and bathrooms, in site of the battlefield and merchants. There is plenty of room on the woodline as well.

FCFS, you will need approval. King and Court get first dibs, and also have the second floor of the barn as was said.

We are also camping Sunday night. However, no camps may be set up until after 5pm. At that time it will be possible to drive up and unload. We don't want anything running interference with the events, food truck, merchant, or anything else during the day.

There is a giant update to the BeAe web page incoming when John puts it up tonight.

How are we for bathrooms... seeing as we might have 500 people attending has any conversation ensued reguarding renting any port-a-johns or is there policy there for other options?

The bathrooms onsite all flush, and while there is only one toilet for men I think there are two for women. OUr biggest concern should be toilet paper so idiots don't try to flush paper towels.

Just throwing it out there ... if we have 500 people ... and 60% are men thats 300 men ... even though that one toilet flushes I really think we should invest in a few port a johns... they could be used by men or women and will help to prevent a very very bad situation where people might try to find other areas to relieve themselves which in turn will get us kicked from the site or not asked to return...

I think we'll be fine, but may experience some lines if we indeed have 500+ in attendance. Here are some sources to consider:

Pax has at least 5, counting urinals, which is generally accepted as enough for 500 people for 6 hours.

We will pick up some extra TP when we pick up the extra light bulbs :D

If the EB thinks it wise to aquire rentals and it is worth the cost, why not.

Sir Caetrel great information ! and I agree 100%. While 500 people may need 3-5 according to those sites as Lord Dubh has stated the 3 we have do have running water so in essence we would need them to cover the times when there are lines to use them and with the majority of our players being male only having one sit down toliet may be a nightmaire - especally if there are any problems with that single one toliet :) I personally think we should prepare for the worse so we done have people remembering just how bad the lines and going to the bathroom became... and that would take away from the awesome event that is planned!

From my term as treasurer, I can tell you that Port-a-John's are NOT very expensive and most of the time you have them for the week. Gotugo was very nice, simple and helpful. We should have an account still set up with them. Just make sure to change the billing address and etc if you go that route.
